ClaimPiper · legal information
Privacy & AI
A plain-language guide to the case, AI, and email features visible in ClaimPiper today. It describes behavior in the current app code; it does not complete or replace the separate draft Privacy Policy.
Information in a case
When you create a case, ClaimPiper saves the details you enter, which can include the request type, company or service, country, your description, relevant dates and amounts, and flight details for flight-related cases. It also stores case status, permissions you grant for that case, and activity recorded in the case timeline. Account details are used to associate a saved case with its signed-in owner.
You can attach a receipt or company correspondence. The case stores file details such as its name, type, and size, together with the file content or its storage reference. Case conversations, your reported contact notes, phone-attempt records, company replies, email drafts and messages, and review requests or outcomes can also be saved with the case.
How AI is used
ClaimPiper sends requests for its AI features through the Polsia AI proxy. Depending on the feature, a request can include saved case details and conversation turns, a company reply, correspondence content, contact notes, or evidence information. Case assessment can include text from supported small text attachments; other evidence files may be represented by file details without their contents. When you ask for a draft reply to a confirmed company email, that email’s subject and message content can be included.
- Case guidance uses recorded details to suggest practical next steps and identify unknowns.
- The case conversation answers questions using saved case facts and conversation context.
- Correspondence drafting prepares text from case facts, and reply interpretation summarizes a saved company response.
- When a human review is requested, an internal reviewer brief can summarize saved case details for preparation.
AI output is assistance, not verified fact or legal advice, and it can be inaccurate. It does not make financial decisions for you, such as accepting an offer or choosing a refund, payment, or settlement amount. An AI-generated email draft is saved text: the draft itself does not contact a company or submit anything.
Company email and correspondence
If you choose to send a saved draft, the app sends it through the Polsia email proxy. A separate send action is required. Sending is allowed only while the case has current permission to contact the company and submit the claim, the email channel is connected, and you have separately authorized a specific recipient address for that case purpose. The app checks that the same address and purpose remain authorized before sending. The address is supplied by you; the code does not independently verify that it belongs to the company. If these checks or the email channel are unavailable, sending is paused.
When company-inbox access is connected, ClaimPiper checks the Polsia email proxy for incoming messages that match a case reference and the recipient address authorized for that case. Matching messages can be saved to the case with their sender, recipient, subject, text, and date. Case progress emails can be sent to the account email after certain recorded events. Status-change notices require that case setting to be enabled and the account email to be verified; follow-up reminders require their separate case setting.
Other current data flows
The optional Gmail subscription check requests read-only mailbox access. When connected, the app reviews up to 50 recent messages matching billing-related search terms from the previous two years. It processes the message content for that check, returns possible recurring-charge indicators, and stores the mailbox address, an encrypted refresh token, and connection and last-scan timestamps. The subscription-check table does not store the message bodies or findings. The code does not send, delete, label, or edit Gmail messages.
Bank transaction review is unavailable because the app has no bank transaction provider configured. The current route does not retrieve or store bank transaction data. For more detail on these features, see the still-draft Privacy Policy.
Human review
A conversation may be marked as needing human review, a customer can request review for supported cases, and staff can flag a case for manual review. A review signal or request does not mean a reviewer has already taken it on. A customer review request remains pending until a reviewer records an outcome in the case. ClaimPiper does not promise a review turnaround time or a particular outcome.
No promised case outcome
A company controls whether and when it responds and what it decides. A cancellation, refund, recovery, charge reversal, or other case outcome is not guaranteed. A sent email, company response, review request, or suggested next step does not itself confirm that an outcome occurred.
Details that are still unconfirmed
The repository does not establish a complete inventory of information collected or used, every recipient and service provider, or the retention and deletion periods for account, case, evidence, email, log, and backup data. It also does not confirm the AI or email providers’ downstream handling, retention, or training practices; processing locations or transfers; or the service’s broader security controls, analytics and cookie practices, legal operator, and privacy-request process. These items remain open in the draft Privacy Policy and are not promises on this page.
